a. Account & Institutional Data - Name, email address, phone number, and designation of administrators and faculty - Institution name, address, and affiliation details

b. Student Data (processed on behalf of institutions) - Student names, enrollment numbers, and academic details - Biometric data (facial recognition vectors) used solely for attendance verification — stored in encrypted form and never shared with third parties - Attendance records and academic performance data

c. Integration Data - Data exchanged with FretBox Campus Management System as part of the integrated workflow

When you use our Service, in the case of an error, we collect data and information through an internal debugging solution on your device, referred to as Log Data. This is a standard and widely accepted requirement for all technical and software solutions.

Log Data may include information such as your device's Internet Protocol (IP) address, device name, operating system version, app configuration at the time of use, the date and time of your use of the Service, and other statistics. This information remains strictly confidential at all times.

We use the information we collect to:

- Provide, operate, and improve the Pratyak platform - Process and record attendance using AI-based facial recognition - Generate attendance reports and analytics for institutions - Communicate with administrators and faculty regarding the Services - Comply with applicable laws and regulations, including UGC attendance norms - Detect and prevent fraud, abuse, or security incidents - Integrate with FretBox Campus Management System for seamless campus operations

We do not sell your personal data. Pratyak does not share your information with any third-party or external websites. We may share information only in the following limited circumstances:

a. With Institutions Attendance and student data is accessible to authorised administrators and faculty of the respective institution.

b. With FretBox Technologies As Pratyak is deeply integrated with FretBox Campus Management, data may be shared with FretBox systems under a data processing agreement.

c. Legal Requirements We may disclose information if required by law, court order, or governmental authority.

We are committed to safeguarding your Personal Information and use commercially acceptable means to protect it. Our security measures include:

- AES-256 encryption for data at rest - TLS 1.3 encryption for data in transit - Role-based access controls (RBAC) - Regular security audits and penetration testing - Biometric data stored as mathematical vectors — not as raw images

A Force Majeure clause applies for circumstances unforeseen in commercial operations, natural disasters, and government interventions. While we strive to protect your data, no method of transmission over the internet is 100% secure.

We retain personal data for as long as necessary to fulfil the purposes outlined in this policy, or as required by applicable law. Institutions may request deletion of student data upon termination of their subscription, subject to statutory retention obligations.

Biometric data (facial recognition vectors) is retained only for the duration of the student's active enrolment and is permanently deleted upon request or upon contract termination.

Our Service may contain links to external websites. If you click on a third-party link, you will be directed to that site. These external sites are not operated by us, and we strongly advise you to review the Privacy Policy of any third-party services you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

Pratyak does not share your information with any third-party or external websites.

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. If we discover that a child under 13 has provided us with personal information, we will immediately delete it from our servers.

If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can take the necessary action. Student data processed through institutional accounts is handled under the authority and responsibility of the respective institution.
